EVERYTHING YOU NEED TO KNOW
Our Learner Welfare Advisor plays a central role in creating an outstanding apprenticeship experience. This is a highly supportive and people-focused position, dedicated to ensuring every apprentice feels valued, encouraged, and empowered to succeed.
Working closely with our Academy team, line managers, mentors, and internal stakeholders, you’ll help shape a positive, inclusive learning environment where apprentices can confidently develop their skills, grow professionally, and achieve their goals. You’ll blend programme coordination with meaningful pastoral support—ensuring learners have everything they need to thrive both academically and personally.
What you’ll be doing
Programme Coordination
You’ll help deliver a seamless, high-quality apprenticeship journey by:
- Making sure apprentices, managers, and mentors understand programme expectations, requirements, and timelines.
- Building strong, positive relationships with learners and colleagues to create an exceptional learning experience.
- Working with managers to ensure apprentices receive the right support, supervision, and development opportunities.
- Acting as a key point of contact for apprenticeship enquiries from managers and mentors.
- Scheduling curriculum activities and training sessions in partnership with Trainer Assessors and the Learning Experience team.
- Managing welcome communications, learner handbooks, and other learner-facing materials.
- Organising programme events such as inductions, initial assessments, and celebration events.
- Tracking budgets, monitoring spend, managing invoices, and providing regular financial updates to the Leadership Team.
- Offering guidance to managers on performance processes using practical tools and signposting.
- Ensuring learner progress is accurately reflected in APTEM and supporting data integrity.
- Using data storytelling to translate learner insights into meaningful narratives for internal teams.
- Creating and maintaining Power BI/Excel dashboards and supporting reporting for quality, leadership, and governance teams.
- Identifying learner trends, risks, and errors through data and creating actionable improvement plans.
- Planning and coordinating quality assurance activities, including observation schedules.
- Supporting annual self-assessment activities and contributing to learner case study creation.
- Participating in standardisation meetings, OFSTED preparations, and continuous improvement initiatives.
- Coordinating end-point assessments, including functional skills, ensuring accuracy and compliance.
Welfare & Pastoral Support
You’ll play a vital role in championing wellbeing and inclusion by:
- Promoting a culture of belonging, psychological safety, and community within apprenticeship cohorts.
- Identifying barriers to learning and signposting apprentices to internal or external support services.
- Providing proactive wellbeing support, including check-ins and guidance sessions—particularly for under‑18s.
- Creating welfare-focused learning resources with safeguarding and training colleagues.
- Facilitating engagement opportunities, such as volunteering, to help build confidence and community connection.
- Supporting safeguarding leads by identifying concerns early and maintaining robust records.

Essential Qualities
- A genuine passion for learning, development, and welfare.

- Energy, drive, and a focus on continuous improvement.
- Excellent administration skills and confidence working with digital systems and data.
- Experience using Office 365 and creating professional presentations.
- Strong analytical skills and the ability to translate data into clear insights.
- Confidence supporting managers with performance management queries.
Desirable Experience
- Experience delivering presentations or facilitating group learning.
- Understanding of safeguarding responsibilities.
- Experience providing pastoral support, ideally in an educational setting.
- Experience supporting under‑18s or vulnerable individuals.

Additional Requirements
- A full UK driving licence is desirable, as some travel may be required.
- Willingness to complete relevant compliance checks (e.g., enhanced DBS).
